Role Title: Legal Business Operations Coordinator

Reports to: EP’s founder and lead attorney, Jackie Wilkosz

Role Type: 1099 independent contractor role to start

Location: This is an all-virtual position with the possibility of in-person meetings if you’re located in the San Francisco Bay Area.

Compensation:
Pay is hourly. Rate depending on the successful candidate’s level of experience.


Enlightened Privacy, PC is a micro-boutique data protection law practice poised to mature to the next level. We’re looking for a proactive, dynamic, and motivated team member to support us as our Business Operations Coordinator.  

This multi-faceted role is responsible for supporting  EP with business operations, client relations, and business development and marketing activities. The successful candidate will be the go-to person for coordinating and leading day-to-day aspects of our business as well as driving and project-managing special projects.

What you’ll do (responsibilities of the role)

Client Relations:

  • Handle new client intake and onboarding, client inquiries, and invoicing-related questions

  • Assist with ongoing client outreach

  • Develop, monitor, and maintain client lists

  • Create, distribute, and collate results of client surveys and client engagement activities 

  • Gather and organize feedback and testimonials 

  • Help create templates and client deliverables as needed, including help formatting and “beautifying” client deliverables 

  • Lead and project-manage the preparation and distribution of client holiday gifts, cards, and holiday communications from EP

Business Operations:

  • Schedule and project-manage annual business and legal filing, reporting, and certification requirements

  • Keep track of and project-manage ongoing operational needs and projects (e.g., quarterly and annual ops tasks)

  • Organize and manage files in Google workspace and other shared drive folders and email inboxes, including general business “info” inbox

  • Create clear and informative agendas and dashboards for ongoing projects and action items

  • Assist Founder with travel and event planning, scheduling, task management

  • Create and manage team calendars, set reminders, and assist with general calendar needs

  • Help plan and organize team events such as offsites, travel, reservations

  • Place and manage orders for supplies, swag as needed

  • Build new internal operations documentation/procedures, revise and organize EP’s existing internal operations documentation (e.g., policies, procedures, notes)

  • Project-manage and drive new projects, such as roll out of new technology, managing and enhancing existing technology (e.g., Google workspace), launching updated website

  • Interface with bookkeeper as needed to address invoicing questions, establish and manage operational budgets, and assist with financial reporting

  • Coordinate with IT support as needed to implement and project-manage technical and security updates

Business Development and Marketing:

  • Create, draft and send out quarterly client newsletters and other client email communications

  • Manage newsletter lists and sign-ups 

  • Manage posting of articles on blog (Medium) and/or website, track and manage engagement

  • Set up, maintain and manage CRM, email marketing and other marketing tools

  • Create on-brand images in Canva or other tools to accompany newsletters, emails and social media posts 

  • Manage and enhance Enlightened Privacy social media accounts (e.g., LinkedIn, Instagram); schedule posts, manage posts and content; track post engagement

  • Help develop creative ideas for social media post content and other marketing ideas, help create and draft content for posts and respond to comments

  • Update and enhance EP website (Squarespace)

  • Coordinate and collaborate with outside marketing advisors and agencies, develop, drive and track campaigns

  • Create and manage marketing timelines and calendars

Education, Experience, and Skills Requirements 

  • Bachelor’s degree preferred

  • Proficient in Google Workspace, Slack, Canva, email marketing applications (e.g., Kit), social media platforms (e.g., LinkedIn) and all Microsoft Office 365 applications 

  • Experience with and interest in Squarespace editor interface and building and managing websites 

  • Experience managing operations for small businesses and implementing solid, innovative, clear procedures a must

  • Experience working in law firms or the legal field and/or paralegal experience preferred 

  • Experience supporting business founders or C-suite level executives preferred

  • Experience implementing and managing small business marketing strategies and campaigns and setting up and managing social media accounts for small businesses and executives a plus 

  • Experience developing and managing marketing content and creative content design and coordinating with marketing consultants/advisors preferred

  • Experience working with and/or implementing Clio or other law practice management software a plus

  • Knowledge and ability to set up and implement new technology tools for small businesses including AI tools a plus

  • Understanding of and experience using generative AI tools preferred

Stats about the role

  • Work with/report to: This role reports to EP’s Founder and works directly with EP’s Founder and Senior Associate(s). The role also coordinates with EP’s IT, bookkeeping, marketing and other contractors or service providers.

  • Expected time commitment: This would be a part-time role. We expect a commitment of 14-15 hours per week with availability on 3 dedicated days each week, to be agreed upon prior to your start date. If a special project requires additional time, we will discuss and agree in advance as the need arises. We expect your availability to align with the Pacific Time zone. (For example, 10 am - 3 pm PT Tues, Weds, Thurs).

  • Location: This role is intended to be fully virtual/remote, with a possibility to meet in person periodically if the selected candidate is local to the San Francisco Bay Area. 

  • Legal details: This would be a 1099 independent contractor role.

  • Compensation: Pay would be hourly. Expected $25-35 per hour depending on experience.

  • Tech: Candidates should have their own computer with appropriate security software installed.

We advise clients in a variety of industries, from tech to consumer products companies, and from startups to established public companies.
